Register content

The admin screen (/admin/contents) lets you register five kinds of content.

Choosing between the five kinds

  • Link: a shortcut to an external site.
  • File: upload a single file and hand it out.
  • Folder: let people browse a folder on the server as it is.
  • Archive: index the files under a folder and show them filtered by attributes. Suited to long lists such as listening material.
  • Group: a virtual folder that gathers other content together.

Which one to choose

  • If the files are already on the computer and will keep growing, use a folder or an archive. Registering only points at the location, so files you add show up after a rescan or a reload.
  • Between those two: a folder if showing them as they are is enough, an archive if there are many and you want to filter. A folder is enough when reading down the list finds what you want. Once you find yourself wanting to pick by year or session, an archive suits better.
  • If you want to hand out a single item, use a file and upload it.
  • If you want to point at an external site, use a link.
  • Once the screen gets long, gather things into a group.

How visibility works

New content is set to "Anyone". Only for folders do you choose the visibility while registering, because a folder cannot hide individual files. For other kinds of content, change the visibility on the edit page that opens after registering.

  • Anyone: viewable even without signing in. Put things here that you want students or family to see.
  • Sign-in required: viewable only by people who have signed in. Suited to material shared among staff.
  • Private: viewable only by the person who registered it. Put your own links and files here, along with drafts you want to check by yourself.
  • Hidden: shown to nobody on the browsing screens. It can still be opened from the admin screen, so it works for drafts you prepare together.

Only the person who registered an item can set it to "Private". Groups cannot be private. An admin can review and clean up other people's "Private" content from the admin screen, but can only change its visibility to "Hidden".

Combining with groups

Content inside a group is visible only to people who also satisfy the group's visibility.

  • "Anyone" content inside a "Sign-in required" group is visible only to signed-in people.
  • Content inside a "Hidden" group does not appear anywhere on the viewing screens.

In the admin list, content whose visibility is narrowed by its group is marked "Set by parent group". When deleting a group or moving content to another group would widen who can see it, its visibility changes automatically so that the same people can see it as before.

Choosing a folder on the server

Registering a folder or an archive opens a picker for a directory on the server. You can only pick inside a folder you registered as a shared folder (see "Set it up"). Locations are shown starting from the name given when the shared folder was registered (for example, "Materials / Eiken / 2024"). Until one is registered, folder and archive cannot be chosen on the type screen. If you are using a network share, read "Use a network share" first.

The number of matching files is shown before you register. If the number is larger than you expected, choose a different folder.
